Job Description
A bustling Oregon Coast business is looking for a detail-oriented self-starter with 1-3+ years of experience in bookkeeping using QuickBooks. Working with management and off-site CPAs, the candidate will maintain financial records for a small business enterprise which includes a sporting goods store, a medium-sized retail shopping center which houses 10 tenants, and personal bookkeeping, banking, record keeping, and filing. The duties include, but are not limited to A/P and A/R, managing received invoices, tracking expenses, and maintaining a spreadsheet of expenses related to the care and maintenance (CAM) of the shopping center for yearly reports to the tenants; candidate will be responsible for generating yearly and occasional professional letters to tenants, dictated by the owner/manager. Weekly hours are 25-30 hours per week (est.) Daily hours are flexible but will fall between 9 am and 5 pm. This job does not include payroll responsibilities.
Responsibilities
- Pick up and sort mail, count the till, load the ATM, make deposits, pay invoices/bills
- Record daily financial transactions and complete the posting process
- Process accounts receivable/payable
- Manage weekly and bi-weekly check runs
- Verify that transactions are properly recorded
- Bring books to the trial balance stage
- Perform bank reconciliations
- Perform partial checks of the posting process
- Enter data, maintain records, financial statements, and filing systems
- Send in Oregon State Marine Board documents as needed
Skills
- Must know Quickbooks, 1-3+ years’ experience
- Experience with Google Suite, MS Office, Microsoft Outlook, Windows and Excel
- Must have a valid driver’s license with a clean driving record
- Knowledge of accounting policies and procedures
- Knowledge of office management systems and procedures
- Time management skills and the ability to prioritize tasks
- Strong organizational skills with the ability to multitask
- Attention to detail and good problem solving skills
- Good interpersonal skills as well as an ability to be a self-starter
- Good written and verbal communication skills
- Experience as an administrative assistant or secretary will be a plus
